Acorn Autism (“Acorn,” “we,” “us”) operates the website acornautism.com and the contact and intake forms linked from it.

This page explains how the website, online forms, and text messages handle information. It is not our HIPAA Notice of Privacy Practices. How we use and share protected health information for evaluation, treatment, and billing is described in our Notice of Privacy Practices, linked in the website footer.

Who this covers
Parents, caregivers, job applicants, and others who visit the site, submit a form, or text our business number. The public site is for adults. Do not have a child complete forms.

Information we collect
You may give us:

  • Name, phone number, and email address

  • Information about your child that you choose to include (age, diagnostic status, services requested, and similar details)

  • Insurance information you provide so we can discuss benefits

  • Messages you send through the contact form, email, phone, or text

  • Resume and work-history information if you apply for a job

The site may also collect ordinary technical data, such as browser type, device type, pages viewed, and approximate location derived from IP address. Our website host may set cookies needed to run the site.

Intake through Aloha ABA
Family intake is processed through our practice-management vendor, Aloha ABA (Aloha Practice Management). When you use the “Start Now” or “Intake Form” button, you leave acornautism.com and submit information on Aloha’s system. Aloha handles that information as our business associate under a signed Business Associate Agreement. Aloha also has its own privacy policy at alohaaba.com.

How we use information
We use website, form, and texting information to:

  • Answer questions and return calls, emails, or texts

  • Decide whether Acorn may be a fit and explain next steps

  • Verify insurance benefits when you ask us to

  • Begin intake, scheduling, evaluation, or hiring

  • Operate, secure, and improve the website

  • Meet legal, licensing, and payer requirements

We do not sell personal information. We do not use this information for unrelated marketing lists.

How we share information
We share information only as needed to run the clinic, including with:

  • Aloha ABA, Unitel Voice, and other vendors who host the site, phone/text service, or clinic operations, under appropriate agreements

  • Health plans, when you ask us to check benefits or when we bill for services

  • Authorities when the law requires it

Cookies
The site may use cookies or similar tools required to display pages and keep forms working. If we add optional analytics later, we will update this policy.

Children
We do not knowingly collect information directly from children through this website. Information about a child should be submitted only by a parent or legal guardian.

Text messaging (SMS)
Acorn Autism may send conversational text messages about your inquiry, appointments, scheduling, or account when you provide a mobile number and agree to texts, or when you text our business number first.

We collect the mobile number you give us and use it to send and receive those messages. Texts are sent through our phone provider, Unitel Voice.

SMS Privacy: No mobile opt-in data will be shared with third parties for marketing or promotional purposes.

Message frequency varies. Message and data rates may apply. Reply STOP to cancel. Reply HELP for help. Consent to texts is not required to receive services from Acorn.

Standard carrier texting is not a secure channel for medical details. Do not text diagnoses, full insurance ID numbers, or other sensitive health information. Use the secure intake form, phone, or the process described in our Notice of Privacy Practices for that.

Your choices
To ask questions, request a correction, or ask us to delete website-form information that is not part of a clinical record, email hello@acornautism.com or call (919) 205-9292. Requests about clinical records are handled under the Notice of Privacy Practices. To stop texts, reply STOP.

Security
We use reasonable administrative, technical, and physical safeguards appropriate for a small clinic website. No online form or carrier text is perfectly secure. Do not put Social Security numbers, full medical records, or other highly sensitive documents in the public contact form or in a text. Use the secure Aloha intake or wait to provide those items through the intake packet.

Changes
We may update this policy. The “Last updated” date at the top will change when we do.
